The Administrative Coordinator serves as the complement to CCPT leadership providing administrative support for projects related to compliance, accreditation, revenue cycle management, operations, accounts payable, timekeeping, and customer support. The job duties of the Administrative Coordinator include, but are not limited to, the following:

  • Works under the supervision and direction of CCPT managers and directors.
  • Serves as a resource for departmental employees. Provides direction, answers questions, and resolves/escalates concerns in a timely manner.
  • Collaborates with system-wide departments to develop efficient and compliant workflows.
  • Maintains general and technical knowledge for areas of responsibility and assignment.
  • Manages CCPT phone lists and email distribution lists.
  • Facilitates payroll processes through UKG and other internal systems according to Carilion policy.
  • Provides technical support by using computer related skills to create, edit, and maintain departmental databases, reports, presentations, and records. Takes steps to ensure data and reports are accurate and submitted on time.
  • At the request of leadership, conducts internal audits to ensure compliance with accreditation, regulatory, and internal policies and procedures.
  • Coordinates scheduling for meetings/appointments, PR events, catering, and conference rooms.
  • Composes documents to include letters, emails, agendas, monthly reports, and meeting minutes.
  • Manages CCPT invoices (sent and received) to ensure timely processing, submission, and resolution.
  • Processes supply orders for PO generation through Materials Management.
  • Delivers exceptional customer service and provides service recovery when necessary.
  • Serves as a point of contact and liaison for CCPT vendors, including aviation and billing vendors and Medicaid brokers. Provides documentation, reports, or other information as requested or required by contract.
  • Processes subpoenas and medical record requests in a timely manner.
  • Provides employee education during orientation and upon request.
  • Manages CCPT inventory to include PR supplies, uniforms, office supplies, books, or other items.
  • Manages petty cash fund and makes bank deposits in accordance with Carilion policy.
  • Maintains patient and business information in a confidential and private manner.
  • Possess excellent customer service and communication skills to work in a highly dynamic environment

What We Require:


Education: Associate degree or equivalent combination of education or equivalent 4 years of experience required.

Experience: Minimum of three years in system(s) analysis work. Effective communication, analytical, and problem-solving skills are essential. Experience in medical transport billing preferred. Experience in emergency services or physician practice setting preferred. Effective communication, analytical, and problem-solving skills are essential.

Other Minimum Qualifications: Advanced computer skills with knowledge of a variety of software programs, including Microsoft word, Excel, Access, word processing, spreadsheets and presentation or database software. Excellent communications and organizational skills required.
