We are a professional services firm that provides third-party retirement plan administration services for companies that sponsor Employee Stock Ownership (ESOP) and 401(k) Plans. We have offices in Charlottesville, VA, Columbia, MD, Pasadena, CA, Columbus, OH and Westchester, IL, although our client base is nationwide. We are the leading ESOP recordkeeping and administration services firm in the country, and we are rapidly growing our 401(k) and defined benefit retirement plan business. We are seeking sharp, detail-oriented, dedicated individuals to join our team.

Administrative Specialist

Required:
  • Strong interpersonal skills
  • Excellent organizational skills
  • Proficiency with Microsoft Office Suite and willingness to learn new software systems
  • Experience working with printers, scanners and copiers
  • 1-3 years of experience with reception/customer service skills in an office environment
  • Strong initiative, focus and attention to detail
  • Ability to work in a team setting, with many time-sensitive projects in process simultaneously
  • Ability to work onsite full time in our Charlottesville, VA location during regular business hours, Monday-Friday 8:30am-5pm.
Recommended:
  • Bachelor's degree a plus

The Role:
The Administrative Specialist lends vital support to the administration of ESOP and 401(k) plans and the functioning of the firm’s corporate headquarters in Charlottesville, Virginia. The Administrative Specialist will be responsible for general clerical tasks, including management of all incoming and outgoing mail processing, answering the phone, greeting vendors and visitors to the office, ordering supplies, and planning events as needed.

The Administrative Specialist must identify issues and work with relative parties to resolve them – including communication with internal staff as well as Third Party Vendors. The successful candidate will be conscientious, efficient and unflappable while also demonstrating flexibility.  Ability to occasionally work more than 40 hours per week during peak times and thrive in a fast-paced, team environment is essential as well.
