Position Overview

kglobal is a full-service agency that helps clients communicate better. As a result, our commercial and federal clients build awareness, increase market share, influence policy, and protect their brands.

The Operations Lead manages the day-to-day internal processes and communications at kglobal. kglobal is a communications agency of 50 staff within a larger enterprise. This role demands understanding all the unique dynamics of a thriving creative team while ensuring alignment and compliance with corporate goals and systems - including accounting and finance, human resources, information technology, and other operational functions.

As part of a group of creative communicators, the ideal candidate thrives in a highly visible, fast-paced capacity while managing time-sensitive issues, sees the steps necessary to solve them, and acts upon them. You think outside the box, are fast on your feet, and are self-driven.

Success in this role does not end with "I sent an email" - it means unwavering focus on results, task completion, and moving past obstacles. You are the internal customer service team - you meet and anticipate the needs of leadership and staff to ensure we function first smoothly, then optimally. Success hinges on the belief that your contributions matter, your ideas advance the agency's goals, and if something is broken, you'll find a better way.

Description

What You'll Do:

People and Culture

    Plan, organize, and execute company culture initiatives (i.e., leadership outings, all-staff retreats, professional development activities, internal DC-office newsletter)
  • Develop and manage a reward system to acknowledge exemplary employees
  • Collaborates with leadership to determine staffing needs, fill vacancies, and assign, allocate and track utilization for current and future projects (including both internal and contract/consultant staff)
  • Support Account Managers with forecast staffing needs and optimal staff usage

Business/Financial Management

  • Review, analyze, and evaluate business procedures, and make improvements in concert with leadership as necessary (i.e., hiring, on/offboarding, invoicing, tracking, expense reporting)
  • Conduct trainings and create documentation on the appropriate processes and procedures
  • Steward office expenses and subscriptions from purchasing new computers, to ordering office supplies, to making suggestions for efficiency and streamlining
  • Act in lockstep with Account Managers to ensure that project budgets and finances are correctly documented from onset (opening job codes and assigning timesheet codes) through resolution (invoicing, documenting, reporting)
  • Prepare expense reports

Office Management

  • Source appropriate technology, tools, and resources to promote a professional and creative environment (i.e., software subscriptions, physical office items, and technology)
  • Liaise with IT to ensure adequate hardware (computers) are on hand and in working order
  • Schedule regular office maintenance reminders
  • Serve as the main POC for the building when it comes to conference room bookings or other building items
  • Order supplies

Qualifications

Who You Are:

Qualifications

  • Excellent oral and written communicator
  • Deep understanding of project management, workflow, and corporate processes
  • Advanced user of Microsoft Word, Microsoft PowerPoint, Microsoft Outlook, Microsoft Project, and Microsoft Excel
  • Direct experience creating budgets, financial tracking, invoicing, and reporting processes
  • Savvy on communications platforms such as Monday.com, Slack, Teams, etc.
  • Comfortable with IT systems and navigating basic troubleshooting for the office equipment
  • Consistently apply critical thinking to each task and approach all assignments through the lens of process improvement
  • Demonstrated adaptability, agility, flexibility, and composure when dealing with evolving and overlapping deadlines
  • Bonus - experience leading a team through a merger/acquisition process and realigning systems and processes

Experience

  • 5-7 years' experience in office management
  • Experience working with matrixed teams

Degree preferred but not mandatory
