Overview

Under direction of the Division Director for Head and Neck Surgery, and accountable to the Practice Manager, this position will have a primary responsibility to provide Administrative and Surgery Scheduling support to assigned Division Faculty members. The position will also play a key role in coordination with interfacing with Sentara staff members in the overall goal in producing the highest possible patient experience within the Sentara-EVMS Comprehensive Head and Neck Cancer Center. The position is currently located at Sentara Norfolk General Hospital and it is anticipated that the role will move to the Sentara Leigh Campus in July 2024.

Responsibilities
    Maintain all academic calendars.
  • Assist with registration and travel arrangements for various conferences and educational events that faculty may attend.
  • Maintain credentialing for faculty members at all associated facilities in which the faculty members provide care.
  • Act as a point of contact for faculty members for other individuals within EVMS, Sentara and other partner healthcare institutions.
  • Assist in projects as assigned by faculty.
  • Assist clinical staff in the preparation for clinical sessions.
  • Confirm patient appointments and assist with recommendations for increasing clinical productivity and decreasing no show rates for assigned faculty.
  • Assist clinical staff with scheduling of imaging procedures, and obtaining prior authorizations for imaging procedures, as needed.
  • Assist clinical staff with obtaining prior authorization for patient medications as needed.
  • Upon being informed by the physician and clinical support staff of a patient's surgery date this position will post that surgery on applicable clinical calendars and with the facility at which the surgery is being performed.
  • As requested, meet with patients and patient family members to assist in the scheduling of surgical procedures when the patient is in the office.
  • Obtain all required authorizations for services prior to surgery being performed.
  • Collect any patient responsible balances, prior to the surgery.
  • Provide direction and any other information needed to patient and patient family as it relates to the surgery.
  • Coordinate with referring physician offices for any surgeries involving more than just EVMS faculty members.
  • Coordinate needs for additional equipment for surgical cases as applicable.
  • Respond timely to any inquiries from patient or patients families pertaining to surgery and involve clinical staff as appropriate.
  • Other duties as assigned.
Qualifications

High School diploma plus three years' experience working in a health care facility required. with exposure to job duties and responsibilities that would allow for a general understanding of insurance and various requirements of insurance as it relates to payment for professional services is required. Prior exposure to, and knowledge of, surgical scheduling is required.

Computer experience in word processing, spreadsheets, graphics and database software is required. Medical application software experience preferred.
